1. Who we are
Health Practise Digital Marketing is a digital marketing agency based in Victoria, Australia (35 645 011 757). This policy explains how we collect, use, store and share personal information, including information we receive through Google, Meta and other platforms when clients connect their accounts to our reporting tool. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

2. Information we collect
- From you directly: your name, email, phone number, business name and any details you provide when you enquire, sign an agreement or communicate with us.
- From connected advertising and analytics accounts: when a client authorises us, we access advertising and website performance data from services such as Google Ads, Google Analytics, Google Search Console, Meta (Facebook and Instagram), TikTok and LinkedIn. This includes campaign names, spend, impressions, clicks, conversions, website traffic figures and search query statistics. We also store the access tokens needed to retrieve this data.
- From our clients' websites: where a client installs our tracking code, and only after the visitor gives consent, we collect pages viewed, time spent on pages, the advertisement or source that led to the visit, and actions such as enquiries or purchases. If a visitor chooses to submit their details with marketing consent, those details are linked to this activity.
- Customer lists supplied by clients: clients may provide lists of their own customers who have consented to marketing, for use in advertising audiences.
3. How we use Google user data
When you connect a Google account to our tool, we request access to:
- Google Ads, to read campaign performance and, where you instruct us, upload consented customer lists to Customer Match;
- Google Analytics, read-only access to website traffic and conversion reports; and
- Google Search Console, read-only access to search performance data.
We use this data only to provide reporting, performance alerts and campaign management services to the client who authorised the connection. We do not use Google user data for advertising to you, we do not sell it, and we do not transfer it to others except as needed to provide these services, to comply with law, or with your consent.
Health Practise Digital Marketing's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.
4. How we use personal information
We use personal information to:
- deliver, measure and report on marketing campaigns for our clients;
- create advertising audiences from consented customer data;
- respond to enquiries and manage client relationships;
- invoice and administer our services; and
- meet our legal obligations.
We do not use personal information for any purpose a person would not reasonably expect.
5. Sharing and disclosure
We do not sell personal information. We share it only with:
- Advertising platforms (Google, Meta, TikTok, LinkedIn) when uploading audiences on a client's instructions. Emails and phone numbers are converted into an irreversible hashed (scrambled) form before upload;
- Service providers who host our systems and help us operate, under confidentiality obligations; and
- Authorities, where required by law.
6. Overseas storage
Some of our providers, including Google, Meta and our hosting provider, store data outside Australia, including in the United States. We take reasonable steps to ensure they protect information consistently with the Australian Privacy Principles.
7. Cookies and tracking
Our website and our clients' websites may use cookies and similar tools (such as Google Analytics and the Meta Pixel) to measure visits and advertising results. Tracking only starts after consent is given through a cookie banner, and you can withdraw consent at any time through the banner or your browser settings.
8. Security
Access tokens and credentials are encrypted. Access to data is limited to authorised staff, and we use secure (HTTPS) connections.
9. How long we keep information
Website activity data is deleted after 13 months. Client account data is kept for the duration of our engagement and deleted within 90 days after it ends, unless the law requires us to keep it longer. Clients can revoke our access to their Google account at any time at https://myaccount.google.com/permissions.
10. Access, correction and deletion
You can ask to access, correct or delete your personal information by emailing info@healthpractisedigitalmarketing.com. We will respond within 30 days. Deletion requests also remove you from any advertising audiences we manage the next time they update.
11. Marketing emails
Every marketing email we send includes an unsubscribe option, in line with the Spam Act 2003.
12. Complaints
If you have a concern, contact us first at info@healthpractisedigitalmarketing.com. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at https://www.oaic.gov.au.
13. Changes
We may update this policy from time to time. The latest version will always be on this page.
